Summit Automations ("we", "us", or "our") operates this website and the Summit Automations services (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

1. Information We Collect

• Account information — name, email address, company name, and password (stored hashed) when you sign up.
• Billing information — payment details are processed by Stripe; we store only a customer reference and subscription status, not your full card number.
• Service data — information you input into the Service, such as property records, tenant information, maintenance requests, and conversations with the AI agent.
• Usage data — log data including IP address, browser type, pages visited, and timestamps.

2. How We Use Information

• To provide, operate, and maintain the Service.
• To process payments and manage subscriptions through Stripe.
• To send transactional emails (account confirmations, billing receipts, security notifications).
• To improve the Service, troubleshoot issues, and develop new features.
• To comply with legal obligations.

What we do NOT do with your data

Property managers asked us for this section directly. Plain-English commitments:

• We don't sell your tenant data. Not to advertisers, data brokers, lead-gen companies, or any other third party. Ever.
• We don't train AI models on your tenant data. Anthropic (our AI provider) has confirmed in its commercial API terms that customer content is not used to train their models. Summit also does not run its own models or use your data to train any internal classifier.
• We don't share data across operators. Each Summit customer's tenant, lease, and communication data is scoped at the database layer (see owner_id guards). One operator's data is structurally inaccessible to another operator's agent.
• We don't read your tenant emails for marketing. The AI processes them to draft replies. We don't extract patterns for anything else.
• We delete on request. Email us and we delete your account + tenant data within 30 days. Confirmation provided.

A more formal Data Processing Agreement (DPA) covering these commitments in attorney-readable language is available at /privacy/dpa — feel free to send it to your counsel before signing up.

3. Third-Party Services

We rely on third-party providers to operate the Service. These providers process limited data on our behalf:

• Anthropic — powers the AI agent. Conversation content you send to the AI is processed by Anthropic.
• Stripe — payment processing.
• Twilio — SMS notifications (if enabled for your account).
• Email/SMTP provider — transactional emails.
• Railway — application hosting.

4. Data Sharing

We do not sell your personal information. We share information only with the third-party providers listed above, when required by law, or in connection with a business transfer (e.g., merger or acquisition), in which case we will notify you.

5. Data Retention

We retain account and service data for as long as your account is active. You may request deletion of your account and associated data by emailing us at the address below. Some data may be retained as required by law or for legitimate business purposes (e.g., tax records).

6. Security

We use industry-standard measures to protect your data, including encrypted connections (HTTPS), hashed passwords, and access controls. No system is 100% secure, and we cannot guarantee absolute security.

7. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or export your personal information, or to object to certain processing. To exercise these rights, contact us at the email below.

8. Children

The Service is not directed to children under 13, and we do not knowingly collect data from children under 13.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version here and update the "Last updated" date.
